We are seeking a highly organized and diligent Executive/Personal Assistant to join our dynamic team in Oman. The ideal candidate will play a pivotal role in supporting our executive in maintaining a productive and efficient office environment. As an Executive/Personal Assistant, you will be responsible for managing schedules, facilitating communication between team members, and ensuring the smooth operation of daily tasks within our fast-paced investment firm.
Responsibilities:
- Manage and organize executives' schedules, including meetings, appointments, and travel arrangements.
- Prepare and distribute meeting agendas and minutes, ensuring timely follow-up on action items.
- Assist with the preparation of reports, presentations, and other documentation as required by the investment team.
- Handle incoming and outgoing communications, including phone calls, emails, and correspondence, while maintaining professionalism and confidentiality.
- Maintain office supplies and equipment, ensuring that the workspace is organized and effective.
- Support the team in project management tasks by tracking deadlines and deliverables.
- Assist in maintaining company databases and filing systems, ensuring documents are easily accessible.
- Coordinate office events and meetings, including logistics, catering, and participant communication.
Requirements:
- Proven experience as an executive/personal assistant or in a similar administrative role, preferably within the investment or financial services sector.
- Proficient with office software (e.g., MS Office Suite, calendar management tools) and general office equipment.
- Excellent communication skills, both written and verbal, with a professional demeanor.
- Strong organizational skills with the ability to multitask and prioritize effectively in a fast-paced environment.
- High attention to detail and accuracy in handling tasks and documentation.
- Demonstrated ability to handle sensitive information with discretion and confidentiality.
- Fluency in English knowledge of Arabic is a plus.
