JOB DESCRIPTION:

Training workflow:

  • Development and updating of the training matrix according to the positions
  • Development and updating of training procedures
  • Training database: Maintaining records of training protocols for the training track. Keeping all training documents scans, copies.
  • Training plan and work with procurement: Preparation of the annual training plan and all training (already provided for 2025).
  • Providing the procurement department with the entire list of RoK trainings and coordinating with the management the stage of signing the contract with the Training Center. Supporting the issue until the issue is fully resolved.
  • Selection of a training center and coordination with the purchasing department, holding a meeting.
  • Provide a detailed training plan with a list of employees every month and constantly update this plan so that the accounting department can prepare an invoice for payment
  • Coordination of all RoK trainings with the purchasing department and selection of a training center
  • Training process: Enrollment of personnel for training at the training center. Enrollment of personnel for training at the training center.
  • If this is an online training, receive confirmation from the training center, login, passwords and a link for further distribution to employees by email or WhatsApp. Monitoring and control to ensure that all employees passed all requested training.
  • When planning trainings conducted directly offline with a visiting training instructor at Tengiz. It is mandatory to double-check all trainees to ensure the participation of all employees in the application, ensure that all employees are notified.
  • Collecting training applications and working closely with supervisors to ensure correct application submission and attendance of employees.
  • Coordination with the training center of offline trainings, issues of mobilization of the training coordinator to Tengiz, preparation of the premises for training on all issues such as a temporary badge, coordination of lunch for the training instructor. Meeting and familiarization of the training instructor, handing over the roster to him, organizing the necessary equipment such as a projector, extension cord, etc. Full support.
  • Observation of how well the training was conducted by the instructor and feedback.
  • Checking the list and the completed roster of all employees who came for training/training. Taking photos during the training for further reporting. Scanning the roster and transferring it to the Training Center.
  • Training certificates: Ensure that certificates are prepared after completing the training and that they are delivered to Tengiz.
  • After receiving, check the certificates and protocols. Check everything according to the application.
  • After receiving the certificate of completion from the Training Center, check all certificates and protocols monthly if possible and send them to the Health, Safety and Environment Manager for signing, after which we pass it on to Facilities/Maintenance supervisor for signature.
  • The cost control specialist contacts the CHESM/Training specialist and checks before approving.
  • We also control the process so that the cost specialist transfers the signed act to the Atyrau office to make payment to the training center.
  • Providing the certificates copies to the admin assistant for uploading them to TCO system
  • Control and enrollment to the training: Monitoring that employees are trained in time for all mandatory training such as: Occupational Health and Safety, Industrial Safety, Fire Safety Minimum, Electrical Safety. And, in addition to these trainings for 19 types of training: such as Lifting and Rigging Work, Pressure Vessels, Gas Supply Systems, Slinger-Signaler etc. For all training, we are waiting for approval and confirmation from project supervisors, managers and the purchasing department.
  • Weekly reporting: We request a report on Client' s training from assistant and collecting all RoK trainings data every week and prepare a weekly report on trainings. We report separately GM and FM every Tuesday and Thursday.
  • Monthly reporting: Based on weekly Client' s and RoK training data, we prepare a monthly report with statistics and analysis.
  • HSE induction and other briefings: Conducting HSE induction training for new employees (local and foreign) and other TBT’s briefings if required maintaining logbooks and collect rosters. Updating the HSE induction program material if required.
  • CHESM workflow:

  • Development and submission with management of all procedures required by the Client' s CHESM process.
  • Short Services employee. Full control over the procedure Short Services Employee. Starting from the recruitment process to full mobilization to the site and the appointment of a mentor for the SSE. Preparation of documents such as a mentor checklist, order, SSE questionnaire. Registration of employee to the tracker and control. Monitoring the process of successful completion of the SSE program after the employee has been employed for 6 months. Ensuring all documentation (order) is signed.
  • Field verification. Conducted on the sites FV – Field verification with Client' s contractor and same as internal. The inspection includes a complete walk-through of the entire work area, the presence of safety signs, checking the work permit and all documentation, certificates and trainings, procedures, PPE, equipment, and questioning employees on all issues related to safety.
  • If during the FV inspection comments or non-compliance with the requirements were identified. Control over the timely closure of these non-compliances and comments.
  • CHESM Performance review is one of the important stages that affects the entire project, since the company' s work scope depends on the qualification assessment according to the Client' s requirements, whether the company complies with the HSE issues important. In case of a low qualification assessment, Client may consider terminating the contract.
  • Preparation for PR audit and with Client' s CHESM which covers all issues related to documentation and site preparation, mobilization issues:

      • Workplace risk assessment
      • Hazard analysis and control measures
      • Proper work planning
      • Emergency response and management measures
      • Most hazardous types of work
      • SSE program
      • Briefings, training RoK courses
      • Environmental protection
      • CHESM HSE reporting and documentation requirements
      • Regulatory requirements
      • HSE information communication (including hazard warnings, site safety warnings and incident reports, etc.).
      • Contractor participation in HSE consultation activities (e.g. HSE committee).
      • Activities related to employee welfare and transportation.
      • Emergency response and management measures.
      • PPHE and work permit system
      • Step-by-step work plan.
      • Isolation of hazardous energy sources
      • RoK HSE regulations documents
      • Environmental labor community Client' s and RoK issues.
      • Training of Client and RoK questions
      • Motor-vehicle safety
